Paper trails, lost documents, and unclear deliveries have long made proof of delivery a tedious process. Businesses often struggle with outdated systems that slow operations, frustrate customers, and add unnecessary risk. Modern logistics demand something faster, smarter, and simpler, a solution that saves time, enhances transparency, and brings peace of mind to every delivery.
That’s where ezPOD steps in. Designed with precision and passion, ezPOD transforms proof of delivery into a great digital experience. The platform eliminates paper clutter and inefficiencies by letting users create, sign, and store Proof of Delivery (POD) documents directly within the app or digitize their existing paper copies using advanced AI tools. With every delivery captured through GPS tagging, photos, and material lists, ezPOD ensures complete clarity and accountability at every step.
Beyond efficiency, ezPOD brings people together. Users can instantly share PODs with contractors, lenders, and other stakeholders, keeping everyone informed and aligned in real time. For material providers, it simplifies documentation and accelerates customer service. For contractors, it means faster billing and fewer disputes. For lenders, it delivers automated confirmations that minimize risk and streamline draw processes. With no long-term contracts, no hidden fees, and no obligations, the company invites businesses to experience a new standard in delivery verification.
At CIO Bulletin, we had the honor of interviewing Ken Trent, the visionary Founder and CEO of ezPOD. He shared powerful insights on how his company is revolutionizing the proof of delivery landscape with innovative digital solutions that enhance efficiency, transparency, and trust at every step of the delivery process.
Below is an Excerpt from the Interview
Can you share the story behind ezPOD’s inception and what inspired you to modernize traditional Proof of Delivery systems?
While working in construction finance, leading a division focused on construction material orders, I realized that there was a significant gap in modern proof of delivery (POD) documentation. So many material providers were still using carbon-copy PODs; it’s actually kind of concerning. We saw a number of material delivery disputes that slowed progress (or even put a halt on the overall project), broke trust, and cost everyone involved extra time and money simply because the handwriting on the paper POD was illegible. My goal was to fix that by using modern solutions to create a single source of truth that all parties could easily access.
Could you tell us about your services in brief?
ezPOD provides digitized Proof of Delivery (POD) services for construction material providers, contractors, and lenders. We offer key features not available in legacy carbon-copy paper PODs, such as photo verification, GPS coordinates, delivery timestamps, live delivery tracking, instant stakeholder notifications, and APIs for full digital POD management, among other things.
Could you discuss how AI-powered digitization of existing paper PODs helps companies transition smoothly to current workflows?
One of our primary goals is to help make digital adoption as smooth and frictionless as possible. We understand that legacy systems can make it challenging to integrate with new technologies, and we also understand how painful it can be to upgrade to new systems. We utilize AI to help digitize your current paper PODs by simply taking a picture of them. We capture only the basic details, such as the item descriptions, quantities, and destination address. This helps our customers to bridge the gap between legacy systems and modern technologies by allowing them to generate their current PODs and then easily digitize them to use modern features available via ezPOD.
How does ezPOD simplify the delivery documentation process while ensuring compliance and reducing delays in billing or draws?
Before issuing payment draws to the contractor, lenders want to be sure that the money issued is actually used for materials intended for the jobsite. Because of this, lenders will often require some degree of verification or proof that materials were delivered or installed on the jobsite being funded. ezPOD’s photo verification and delivery coordinates confirm these crucial details so that the lender can see exactly what was delivered and confirm that it was delivered to the correct jobsite and not another location.
ezPOD transforms paper-based workflows into fully digital solutions with real-time delivery verification and stakeholder sharing. How does this shift improve efficiency, accuracy, and collaboration across projects for contractors and material providers?
ezPOD acts as a single source of truth for all parties involved. PODs created using ezPOD offer photo verification, timestamps, GPS coordinates, live delivery tracking, and instant notification, making it crystal clear to all parties involved what was delivered, when it was delivered, and where it was delivered to. This virtually eliminates delivery disputes and substantially increases confidence in the lending and payments processes for material providers, contractors, and lenders.
Can you share a success story on how ezPOD significantly improved a client’s delivery verification or project workflow?
When we were still in very early stages of product development, we were focused on photo verification and timestamps as key features of our offering. One critical piece of feedback was to implement GPS coordinates of the delivery and live delivery tracking, which we have since implemented. This has become one of the pillars of what makes ezPOD a single source of truth for all parties involved.
What’s next for ezPOD? Are there any new products or services in the pipeline that your clients and our readers should know?
We continue to explore optional process improvements and automation that will help our customers with their workflows so that creating and delivering Proof of Delivery documentation can be as easy and frictionless as possible. In the coming months, we will also turn our eye to features for lenders, such as material installation verification, which we believe will make it easier and more cost-effective than ever for lenders to verify that the materials delivered were the materials installed on the project.
Being considered for the issue “Most Innovative Companies to Watch,” what aspects of ezPOD do you believe showcase the company’s innovation and industry impact?
ezPOD includes all of the vital information on each Proof of delivery—photos, GPS coordinates, timestamps, digital signature, PO#, etc. Additionally, drivers can scan a QR code on each physically printed POD that easily identifies and updates the corresponding digital POD. This makes it easier than ever for the driver to update the status of the POD and collect the digital signature when at the jobsite, reducing inaccurate data and helping the driver be efficient with time.
